A shell scheme is the most common booth type at UAE trade shows. The organizer provides a pre-built modular framework typically aluminum extrusion panels in 2.5 m height along with a carpet, a fascia nameplate, one table, two chairs, and a basic power socket. You receive a box to fill; the structure itself belongs to the event organizer.
Shell schemes dominate at venues like Dubai World Trade Centre (DWTC), Abu Dhabi National Exhibitions Company (ADNEC), and Expo City Dubai because they let organizers pack hundreds of exhibitors into a hall efficiently. As an exhibitor, your job is to brand and furnish that space within the contractor’s rules and to do it on time.

The UAE exhibition calendar is dense GITEX, Arab Health, Big 5, Gulfood, ADIPEC, and hundreds more. Booths sell out, preferred contractors book up, and freight forwarders close their cut-offs early. The timeline below is your runway.
H2- 8–10 weeks before show -Book your shell scheme space & confirm package
Once your booth booking is confirmed with the event organizer, immediately download the Exhibitor Manual (also called the Technical Manual).— it contains shell scheme dimensions, panel colors, fascia specifications, height restrictions, forbidden materials, and the approved contractor list.
- Confirm exact booth dimensions (3×3, 3×6, 6×6 m etc.)
- Note the shell system brand (Octanorm, Maxima, Syma these affect graphic panel sizes)
- Identify your stand number and hall
- Check if corner, inline, or island rules apply to your position
7–8 weeks before show -Design your booth graphics & layout
With exact panel dimensions confirmed, brief your designer. Shell scheme graphics are printed on fabric, vinyl, or SEG (silicone edge graphics) depending on the system used at the venue.
- Back wall graphic (most impactful surface)
- Side panels (often overlooked aisle traffic sees these)
- Fascia board — your company name + logo (included in package, or upgrade to custom)
- Counter/reception graphic if ordering a branded counter
- Digital screen content if including screens
6–7 weeks before show- Submit booth design for organizer approval
Almost every UAE show requires advance booth design approval before you print a single graphic. Submit to the organizer’s official contractor or official stand designer. Turnaround is typically 5–10 business days.

The shell scheme base package is minimal. Most UAE exhibitors upgrade. Order everything through the official contractor portal in the Exhibitor Manual or through your own approved supplier with a valid UAE trade license.

4–5 weeks before show- Approve artwork and send to print
Once organizer approval is received, send final artwork files to your print supplier. UAE has excellent large-format printers in Al Quoz (Dubai) and Mussafah (Abu Dhabi) ; most can turn around a full shell scheme graphic set in 5–7 business days.
- Supply files at 1:1 scale or 1:10 with 300 DPI minimum
- Request a color proof before full print run
- Confirm finishing: eyelets, pole pockets, SEG channels as per venue spec
- Order 10–15% extra in case of damage during freight or installation
3–4 weeks before show- Freight & logistics planning
If bringing products, brochures, or custom items into the UAE from abroad, this is when your freight forwarder needs confirmed cargo details. UAE customs can hold shipments if documentation is incomplete.
- ATA Carnet or temporary import documentation for product samples
- Confirm official freight forwarder for the show (listed in manual)
- Book on-site storage if items arrive before build day
- For local suppliers: confirm delivery windows with the venue’s loading bay schedule
2–3 weeks before show- Register badges & exhibitor credentials
UAE shows require every person on the show floor to carry an accredited badge. Register all staff through the exhibitor portal well before the show badge printing queues on Day 1 can cost you hours of selling time.
- Exhibitor staff badges (usually limited per sqm — check your quota)
- Contractor/build crew passes (separate from exhibitor passes)
- Vehicle passes for delivery vehicles entering loading bays

This is your final alignment window before the venue’s change cut-off. After this point, additions or changes often incur rush surcharges of 25–50% in UAE venues.

- Send build schedule and booth layout to your installation team
- Pack a “show kit” — toolkit, tape, touch-up pens, spare cables, extension boards
- Brief booth staff on talking points, lead capture process, and demo schedule
1–3 days before show- On-site installation at the venue
UAE venues typically allow 24–72 hours of build time before opening day, depending on show size. DWTC and ADNEC operate structured build-up schedules where heavy machinery works first, then shell scheme fitting, then graphics and furniture.
- Arrive in the first access window — late arrivals find aisles congested with machinery
- Inspect the shell scheme frame before your graphics go up (check for damaged panels)
- Install graphics, counter, AV, and accessories in the right sequence — screens last
- Electrical sign-off: a venue electrician must approve and connect your power distribution
- Raise any damage or missing items with the floor manager immediately — not after opening
Show day (opening morning) Pre-opening checks and go-live
Arrive at least 90 minutes before doors open. UAE shows move fast — buyers are often through the hall in the first 2 hours.
- Power on all screens and test AV — report faults to the organizer’s technical team
- Set out brochures, products, and giveaways
